Committee Meeting

April 22, 2009

 

Maribeth Alspach opened the meeting at 6:00 p.m. and welcomed all members to the meeting.  We had thirteen people in attendance. 

 

Financial Report

Total funds raised to date are $95,008.42 ($3,005.39 in 2009) 


Fundraisers

Charity Ride 2009

  • Registration – at Southside Harley-Davidson, 4930 Southport Crossing from 10:00 – 11:30 a.m. We will hold a 50/50 Raffle while we are at Southside and we will hold another one while we are at Mann’s.  Tom has people to work the 50/50 Raffles.  Tom will also be doing a 50/50 raffle at the Shelbyville Eagles.
  • Hog Roast – Patti Wade will contact one of the farmers for a 2nd hog.  All 3 pigs will be delivered to Archer’s on Thursday morning April 30th.  A Revised Grocery list was distributed.

  • Food and other Vendors – We are still looking for additional vendors. 
  • Raffle, Door & Tip Board prizes – Maribeth asks all members to continue soliciting items to be used during the event.
  • Whiteland Raceway ParkMike Swails is handling this part of our event.  Sue Galloway is providing stamps and stamp pads for all of the alcohol vendors.  Anyone who drinks any alcohol will have their hand stamped and would not be permitted to drive the Go-Karts.
  • Carnival Rides & Inflatables – Maribeth states that we currently have nine (9) generators.  If we need to rent additional generators the cost is $120 each for the 3 day weekend. 
  • Games / Kids Activities – Charles Howard is working on volunteers to help with this event as is Sue Galloway.  Kathy Rooker will check on prizes.

  • Auction – Maribeth and Patti will be putting together the auction baskets. A complete list of Auction Items has been added to the web site. Patti Wade & Maribeth will work the money table at the auction.  Use of credit cards is discussed – Paul Ross will investigate.
  • T-shirts – Have been ordered.  Shirts will be sold at $10.00 each.  Committee members wanting a t-shirt need to let Maribeth know what size to hold out for them – hopefully they will go fast.  Shirts must be paid for when they are picked up.  We will sell last year’s shirts for $5.00 each.
  • Patches – The patches are in – Patches will be sold for $5 each at the event.
  • Tents –Frank Vaughn has secured 2 tents and the Rock Climbing Wall for this event.  He has 4 vehicles coming for the military display.
  • Tables & Chairs – New Whiteland and the Whiteland VFW are loaning us tables and chairs for this event. 
  • Displays – Mike Swails has secured Sarah Fisher’s car for our event. We need to have someone stationed at the car during the event to be sure it isn’t vandalized.  Maribeth still has openings for volunteers to man this exhibit for an hour at a time beginning at 11:30 and ending at 7:30.
  • We have received confirmation from COLTS IN MOTION.  They will be here from 3:00 – 5:00 p.m. on May 2nd.  They should arrive around 2:15 – 2:30 to set up.  They will have the Quarterback Challenge as well as “Crusher” an Inflatable for photo opportunities.
  • Publicity –Maribeth has revised cost information on color ads in the Daily Journal – committee approves running color ads on April 25th & 30th. The 10 second commercial tag with Comcast has been airing.  We also discuss renting Yard Card Signs – if we rent 2 they will donate 1.  We would place one at Proctor Park and one at 31 & Whiteland Road and at 31 and Tracy.  We need to get permission from Dennis Capozzi as to where the signs could be placed before ordering them.  Cost would be $126.00 for 1 week.

 

Uno’s Chicago Grill

Maribeth distributes coupons / fliers for Uno’s.  Our fundraiser will be Thursday, May 14th ALL DAY carry out of eat in.  We will hand out fliers at the Ride but all committee members are encouraged to make copies and hand them out at work and to family, friends and neighbors. We will earn 15 – 20% on all orders presenting our fliers!

 

Johnson County Fair Booth

Sue Galloway has put this on the calendar for the NJHS members. Committee needs to decide whether or not we want to participate again this year.  Cost would be $177.00.

 

Johnson County Community Foundation

Maribeth submitted our grant request package in the amount of $20,000 for the sidewalks in Proctor Park on March 30th.

Meeting Schedule

Future meeting date was not discussed.  Maribeth will schedule a meeting after the May 2nd event to wrap things up.

 

Being no other business, the meeting was adjourned at 7:35 p.m.
