Committee Meeting

January 7, 2009

 

Maribeth Alspach opened the meeting at 7:00 p.m. and welcomed all members to the meeting.  We had seventeen people in attendance.  Charles Howard, Shannon Stinson, Mike Swails, and John and Connie Perrin were new attendees.

 

Financial Report

Total funds raised to date are $92,003.03. ($39,975.79 in 2007 and $52,027.24 in 2008) 

Thanks to Sue Galloway and the 7 schools that participated in the Jar Wars competition last fall.  The students raised $1,113.39 which was presented to us at the Veteran’s Day Program at CPMS.  That money has been used to purchase a handicap accessible drinking fountain that will be installed later this year when the water line is run.  Thank you as well to Patti Wade and Main Source Bank for counting all of the money each day.

+ Labor

Maribeth commends the New Whiteland Public Works Department for all of their vision, dedication, expertise and labor at Proctor Park.  We have ordered 2 permanent trash receptacles and would like to add 4 more.  We have a large swing set that needs to be installed once we get the excavation work done and the pea gravel installed.  Due to the height of the flag poles and the straight line winds we have experienced we have to replace our flags every 2 – 3 months.  Maribeth is waiting on quotes from 2 vendors as well as the Whiteland VFW.  Member Stella Owen has repaired some of the flags but most are too torn to repair.  Maribeth adds the monument that the VFW ordered has been completed.  The Public Works employees have installed the foundation and the monument should be delivered and set in place within the next 2 weeks.

 

Heroes Dedication Ceremony

Once the sidewalks have all been installed and the majority of the other work is completed we might want to schedule a Dedication Ceremony to honor the Hometown Heroes – our Police, Fire and Emergency Response personnel.  We also need to promote that area and walkway and try to get additional brick orders for that section.  At this point we have a few brick pavers for police officers but none for fire or emergency responders.

Donor List Sharing Request

Maribeth received a request from Laura Barber with Silver Star Scholarship, Inc. requesting access to our donor list so that they could solicit donations from these folks for the scholarship fund honoring Joey Proctor.  After much discussion, committee unanimously denies this request.  Many donors wished to remain anonymous.  With respect to the Privacy Act we will not share this information with any other group or organization.

 

Memorial Biography Book

Maribeth states that introduction letters and biographical surveys were mailed out late last year to everyone who purchased a brick in the Veterans section of Proctor Park.  The Whiteland Baseball Club, under the direction of Holly Ison will compile this information in a keepsake book that will be presented to us at their annual fundraiser on February 28th at WCHS.  The cost for the fundraiser is $15 which includes dinner and an auction.  Maribeth will have the Memorial Book at the New Whiteland Town Hall and hopes to make the information available on the town’s website also.  She thanks the Baseball Club and Clark Pleasant Schools for their ongoing support of this project.

 

2009 Motorcycle Expo

This year’s Expo is February 26th – March 1st at the Indiana State Fairgrounds.  Pete Molloy with Anna’s Foundation has offered to share their booth space with us again this year.  The booth rental is $550.00 so our share would be $275.00.  This is an excellent way to promote our ride and distribute information to the motorcycle community.  Committee approves sharing this expense with Anna’s Foundation.  Several committee members sign up to work the booth during the Expo.  We will look for a raffle item or possible items to sell during the Expo.  We will finalize details for the 2009 Proctor Memorial Park Charity Ride and have fliers printed to pass out during this event.

 

Support Flags

Maribeth has mailed flags to Eddie Proctor, Eddie Proctor Jr., Charlie Linville, and Nick

Alspach.  Unfortunately Eddie Proctor never received his flag while serving in Iraq.  He is now preparing to deploy to Kuwait and we will try sending him one again. We are currently gathering signatures on flags to be sent to Todd Clayton, Bradlee and Eddie Proctor, and Justin Rodenbaugh. We will have flags at the New Whiteland Town Hall for residents to sign and will mail them to our brave men and women who are serving overseas to show our concern, support and appreciation for their service.  Residents have been dropping off snacks and personal items to add to the boxes when we ship the flags.

Charity Ride 2009

Tom Bland presents a calendar of upcoming Motorcycle Rides for this area.  There are no rides currently scheduled for May 2nd so we will move forward with our plans using that

as the date for this year’s ride.  If we cannot get Indiana State Police escorts for this year’s ride Tom suggests doing a Poker Run instead.  Scott Alspach will check on the availability of the ISP escort.  Tom will plan an alternate route if a Poker Run is our plan and will identify five (5) stops that the participants will make during the ride.  Tom will also contact Southside Harley-Davidson and see if they would like to participate as either being the starting point for the ride or being one of our scheduled stops.  On last year’s Anna’s Ride they were the starting location and donated 10 – 15% of their sales for that day to the ride.  John Perrin will also approach Mann’s Harley Davidson to see if they would be interested in participating in this year’s event.

Mike Swails, owner of Whiteland Raceway Park, is here tonight and is interested in participating in this year’s event.  He has space available that we could set up vendors, rides, booths, etc. at the Go-Cart Track.  There is also some discussion about contracting with some small carnival rides for the younger children.  Maribeth will contact the Whiteland Town Council to see if we will need any permits to hold this event.  If we need to appear before the Council John Perrin and Patti Wade volunteer to attend the meeting with Maribeth.

We will need to appoint sub-committees and Maribeth asks all members to indicate which committee they would be willing to serve on.

            Food                -    We will use the same food requisition list as before.

-          Patti Wade will work on getting hogs donated

-          Tom Bland will check with Mike Woods and see if he will do the cooking again this year

Sponsors          -    Promote event and solicit sponsorships

            T-Shirts           -    If sponsorship money will cover the cost of t-shirts, we will

     order a limited number, first come first served. 

            Prizes               -   We will need door prizes, raffle, & tip board items.

            Go Cart Track -   Coordinate their involvement for this event.

            Carnival           -   Coordinate rides, vendors, entertainers, inflatables and games.

            Bands / Deejay-   Schedule and coordinate.

            Advertising / Publicity

 

Meeting Schedule

We will meet on Wednesday, January 28th at 7:00 p.m. to finalize details for the 2009 Proctor Memorial Park Charity Ride and for the Motorcycle Expo booth.
