Proctor Memorial Park

Committee Meeting

June 25, 2008

Maribeth Alspach opened the meeting at 5:30 p.m. and welcomed all members to the meeting.  We had nine people in attendance.  Stella Owen was in attendance for the first time.

Johnson County Fair Booth

The Town Council has authorized renting booth space for the Fair (July 13 – 19) if we have enough volunteer labor to work all week.  Maribeth passes around a schedule (attachment).  We need to fill all slots by June 30th if we are going to pay the rental fee.

We also need a raffle item if we have a booth at the Fair.  We will sell our t-shirts, cling decals and the Parks Department cookbooks plus take brick orders.

Fundraisers

Two potential fundraisers are discussed.

One Day Festival in the East Park to have a community day atmosphere.  Possible attractions are:

            Kiddie Rides

            Games

            Contests

            Food Vendors

            Tug of War

            Chili Cook Off

            DJ from Charity Ride

            Concert

            Fireworks

Maribeth is getting a quote from a fireworks company.  We are trying to find contact information for Huesman Amusements in Shelbyville to get a quote for the rides.  We need to find sponsors to offset the cost of the fireworks.

Whiteland Raceway Park 1 Day Event

Sue Galloway and Maribeth met with Raceway Park owner, Mike Swails.  He is offering to rent us the facility for $2,500 for a Sunday – we can set the hours.  He will provide the cars, the gas and the workers.  We would need to sell tickets – we set the price and the time length of the rides.  We discussed adding some family attractions such as food vendors and the bouncy thing as well.  The drawback to this event is that children under 16 aren’t allowed to operate the cars.

After some discussion it is decided we will look for another time for the Race track event and concentrate on the festival.  Dates considered are the 13th, 20th or 27th of September.  Sue Galloway is checking the CPCSC calendar for other events and then we will select our date.  We will form sub committees to begin working on this ASAP.

Meeting Schedule

There is not another meeting scheduled at the time.  As soon as the date is decided on for the festival we will schedule a follow up meeting.

Being no other business, the meeting was adjourned at 6:45 p.m.

Respectfully submitted,

Maribeth Alspach
