Committee Meeting
April 9, 2008
Maribeth Alspach opened the meeting at 7:00 p.m. and welcomed all members to the meeting. We had seventeen people in attendance.
Financial Report
Revenue to date is $59,453.96.
Status Reports
Landscape Design contract was awarded to Budde Landscaping. We hope to plant trees the week of April 21st. Paul Ross asks if Maschmeyers Nursery was asked to donate any trees. Maribeth was told that when asked by the landscapers they were told they could not donate anything but would discount their trees. They did offer significant discounts but the bid they were quoted on was not the lowest bid.
Brick pavers have been ordered and are to be delivered April 14th & 15th. Installation is expected to take 6 days weather permitting.
Limestone Benches and Entry Sign Gonzo with Fieldstone Center of Indy has 2 of the 8 benches finished and the other 6 are being sanded. He is to call Jim with a delivery and installation schedule. Sandblasters are scheduled to be at the Park on April 25th to sandblast one bench and the entry sign.
Scouts Cub Pack 617 held a rummage sale on March 29th and raised $1,614.02. They have submitted a letter to WalMart asking them to match that amount. The committee thanks them for their efforts.
Proctor Park Installation Schedule Jim Lasiter is not in attendance as he and his employees have been working until dark to try and get as much done as possible while it is not raining.

Food Maribeth reviews a revised copy of the list of food items we need. Several committee members volunteer to provide some items. A new list will be emailed out tomorrow of the remaining items. Charlie Linville will send the new list to a Manager at GFS that he knows. Cost of the Hog Roast meal will be $5.00 for adults and $3.00 for children 10 and younger.
T-Shirts. 715 T-shirts have been ordered and are to be delivered on April 18th. Cost of the T-shirts to interested parties not riding in the Charity Ride will be $10.00 each.
Atterbury Ceremony CW5 Frank Vaughn will have a speaker at the Firing Range for the ceremony on April 26th. Tom Bland has also asked DNR to say something as they will be unveiling their monument that day. Tom adds that the Patriot Guard plans

to be at Atterbury to line the road with flags as the riders arrive. Tom has a photographer scheduled for this event. Tom asks if John Perrin was able to get the videographer lined up for the ride. Maribeth will check on this.
Games WCHS Girls Softball team and parents are going to help with the games from 3-7 p.m. on the 26th. We still need to get prizes and would like to find a face painter and a balloon artist to work that day as well. Beth Burroughs is working on finding these folks.
Blood Drive Maribeth asks people to take posters and put them around town for the Blood Drive. People can call ahead and schedule a time to donate on April 26th.
Auction we are still collecting items for the auction. Several committee members have brought additional items tonight. Maribeth thanks everyone for helping gather these items. Findley Brothers Auction Service will conduct a live auction around 5:30 p.m. Several other items will be available as well and can be purchased through a silent auction on the 26th.
Military Rock Climbing Wall CW5 Frank Vaughn has reserved this item and the necessary personnel to have this interactive display at the Charity Ride.
New Whiteland Fire Department Chief Brian Hedrick will have the new Fire Engine on display that day as well.
Advertising Maribeth will send Press Releases to the media; TV, radio, newspapers, schools, Chambers of Commerce. These items have been sent to the various television station Community Calendars.
Atterbury Shooting Contest
This National Skeet Shoot will be held on April 26th & 27th. They are promoting
this event in Ohio, Illinois, Kentucky, Michigan and Indiana. Proceeds will go to Proctor Park the Charity Ride will be stopping at the Firing Range on the 26th.
Dedication Ceremony May 3, 2008
The Dedication Ceremony will be held at 2:00 p.m. on Saturday, May 3rd, 2008. Maribeth presents a revised program outline for the ceremony. Maribeth thanks Frank Vaughn for submitting our rough draft to his Protocol Officer to revise. Maribeth, Jim Lasiter and Ed Stephenson met with CPCSC representatives to discuss a transportation shuttle service. We will close part of Tracy Road from 11:30 til 5:00 p.m. on May 3rd and will direct people to parking in the Break-O-Day school lots and the soccer field lot. CPCSC is providing two (2) activity vans to transport people from the parking lots to Proctor Park before and after the ceremony. Town Marshal Ed Stephenson outlines the parking plan and states there will be a drop off area at the park for handicapped individuals. 1st Lt. Matthew McGallon has committed to providing a tent for our ceremony. He is going to call Maribeth back with the tent dimensions. We are still in need of a sound system for this event. Maribeth is getting prices from Grand Rental and Ed Stephenson will all check another possible venue. We will be providing chairs on the asphalted parking area; however some audience members will need to stand. We will also rent port-o-lets for the day of the ceremony and try and get bottled water donated to have on site. Paul Ross will check on the bottled water.

Meeting Schedule
Our next scheduled meeting is Wednesday, April 23rd at 7:00 p.m. at the Town Hall.
