Committee Meeting
March 26, 2008
Maribeth Alspach opened the meeting at 7:00 p.m. and welcomed all members to the meeting. We had nineteen people in attendance. Those in attendance for the first time included CW5 Frank Vaughn and Ed Stephenson.
Financial Report
Revenue to date is $53,692.15. We have approximately $30,000 of additional expenses before the Dedication Ceremony. Hopefully some invoices will be delayed until after the 2 major events have closed and we receive those proceeds. The Parks Department does have funding in place if we need to use it.
Status Reports
Landscape Design – we have received 2 quotes and are waiting for 2 more. We will award the contract this week so that the trees are ready to be planted in mid April.
Brick pavers – have been ordered. We received 4 additional orders today! Discussion was also held on possibly paying to have brick pavers engraved from the CPCSC schools that raised money through the Jar Wars. The committee agrees that as the students and staff raised $3,000 for this park we would love to have bricks from each school in the Walkways. Cost for these engraved pavers would run $407.04. National Guard CW5 Frank Vaughn offers to pay for the pavers.
Scouts – Cub Pack 617 is planning a rummage sale for March 29th with all proceeds going to Proctor Park. The rummage sale will be held here at the Town Hall from 8:00 a.m. to 4:00 p.m. Volunteers are needed to help set up on Friday night and to work on Saturday. We have received several items already for the sale. The Scouts will also sell raffle tickets, 50/50 tickets, dog tags, decals, etc. during the sale.
Cub Scouts from Pack 617 present a donation of $145.75 from the proceeds of the aluminum cans they collected and sold. They are expecting a donation from Ray Skillman as well for Proctor Park. The committee thanks them for their efforts.
Proctor Park Installation Schedule – Jim Lasiter states that the weather will be a determining factor in our ability to get everything completed before our Dedication Ceremony. Several Military volunteers worked last Saturday to construct the shelter house. The weather was horrible and if the weather is good this weekend they plan to return to roof the shelter house and box in the rafters and put in the ceiling. The fountain for the pond has arrived and we need to get it installed – it has three lights and Jim plans to install a red, a white and a blue bulb so it will light up at night. We need to get forms put in and have the sidewalks poured. The Memorial Walkways pavers have been ordered and installation is scheduled for April 10 – 15th. Jim has scheduled the playground equipment installation for April 11th and 12th. The American flag pole has been set and Donnie Rogers has installed the other 8 flag pole bases. Those poles won’t be set until after the Memorial Walkways are in place. Jim is waiting on the electrical

panels and will get those set as soon as they arrive. If anything gets put off due to weather it will probably be the sidewalks.

WCHS Choir Concert
Maribeth thanks Karen Linville for getting us the opportunity to set up at this event. We raised $125.00 that evening.
Rummage Sale
Sponsored by Cub Scout Pack #617 is this Saturday.
Charity Ride – Saturday, April 26, 2008 10 -7
Food – Maribeth distributes a revised copy of the list of food items we need. The pigs, buns, baked beans, cold slaw, cheese slices, napkins and silverware have been donated. Mona Woods has provided the list to both GFS and WalMart. She will check with them tomorrow to see what, if anything they can provide. She will also check with Sam’s Club. Patti Wade got all 4 of the hogs donated by two area farmers – we will list them as sponsors on the t-shirts. Archer’s will butcher & block the hogs for $80.00 – the Plainfield Eagle Riders are paying that expense.
Tents, Tables & Chairs – Everything is in place – we still need one additional roaster – Larry Shepherd will check on that.
T-Shirts. The committee chose the Gildan UltraBlend 50/50 shirt and requested pricing for Ash colored shirts. Maribeth presents that cost information. We will order Ash with 3 colors and our logo on the front and a single color with the Ride name and date and a list of sponsors on the back. The shirts will be ordered by March 31st and final artwork approval will be given on April 2nd. Shirts are guaranteed to be delivered by April 18th. Delivery fee is $120.00. The Eagles have received $2,700.00 in sponsorships and have a couple of more possible donors. The Town has received $500.00 in sponsorship donations. This money will be used to purchase the t-shirts. Maribeth will order as many Ash t-shirts as possible with the $3,200.00 (including shipping). Shirts are being shipped from Chicago and our free delivery possibility was from Pennsylvania.
Atterbury Ceremony – Tom Bland reviews the route for the Ride. CW5 Frank Vaughn works with MG Umbarger and will have a speaker at the Firing Range for the ceremony on April 26th. Tom Bland has also asked DNR to say something as they will be unveiling their monument that day. Tom adds that the Patriot Guard plans to be at Atterbury to line the road with flags as the riders arrive. Tom is working on finding a photographer for that event.
Games – Holly Ison has 4 games that we can use on the 26th. Uncle Bill’s Pet Store has agreed to donate coupons for goldfish for the Goldfish game. Holly also has some prizes. Kathy states the Ladies Auxiliary at the Eagles are also going to provide some prizes.

Blood Drive – Maribeth asks people to take posters and put them around town for the Blood Drive. People can call ahead and schedule a time to donate on April 26th.
Auction – we are still collecting items for the auction. Findley Brothers Auction Service will conduct a live auction around 5:30 p.m. Several other items will be available as well and can be purchased through a silent auction on the 26th.
Atterbury Shooting Contest
This National Skeet Shoot will be held on April 26th & 27th. They are promoting
this event in Ohio, Illinois, Kentucky, Michigan and Indiana. Proceeds will go to Proctor Park – the Charity Ride will be stopping at the Firing Range on the 26th.
Dedication Ceremony – May 3, 2008
The Dedication Ceremony will be held at 2:00 p.m. on Saturday, May 3rd, 2008. Maribeth presents tentative program outline for the ceremony. MG Umbarger will be speaking at the ceremony. Governor Daniels, Lt. Governor Becky Skillman and Senator Richard Lugar all have scheduling conflicts that day but will be sending letters that can be read during the ceremony. We will also be introducing various dignitaries who will be in attendance that day. Maribeth, Jim Lasiter and Ed Stephenson are meeting with CPCSC representatives to discuss a transportation shuttle on April 8th. We are still in need of a tent and a sound system for this event. We will be providing chairs on the asphalted parking area; however some audience members will need to stand. Frank Vaughn agrees to take our order of service to his Protocol Officer and get some help with getting the service organized in the proper order.
