Committee Meeting
February 27, 2008
Maribeth Alspach opened the meeting at 7:00 p.m. and welcomed all members to the meeting. We had seventeen people in attendance. Those in attendance for the first time included Brian Stinson and Charlie & A.J. Linville.
Financial Report
Revenue to date is $46,146.46. We have spent $40,311.85 leaving a balance of $5,834.61.
Status Reports
Motorcycle Expo – Tom Bland thanks all who volunteered and worked this event. Proceeds from this event were only $53.00 but hundreds of copies of the Memorial Brick order forms and Charity Ride fliers were handed out. Bland adds that the response to our project and the Charity Ride was overwhelming. Unfortunately there is another large motorcycle ride scheduled on April 26th but lots of people expressed interest in participating in our event.
Blue & Gold Banquet – Sharon Proctor and Vicky Moss worked this event. They raised $79.00 and distributed lots of information about our project and upcoming events.
Landscape Design – Brian Budde with Budde Landscaping has completed the design we need to begin researching resources for possible donations and or grants for this phase of the project.
Scouts – Mike Lingenfelter, representing Cub Pack 617 is unable to be here tonight but sent information that they are planning a rummage sale for March 29th with all proceeds going to Proctor Park. The rummage sale will be held ere at the Town Hall. Mike also reported that the scouts have collected 2 or 3 carloads of aluminum cans so far.
Military – Charlie Linville has spoken to his Commanding Officer. They are trying to organize a work day and will possibly donate labor to construct a shelter house at the Proctor Park site. Maribeth will work on getting supplies donated or purchased for the shelter house. Charlie asks for contact information for Sgt. Joe Proctor’s unit to contact them about teaming up with the Scouts in their door to door fundraising efforts. April Proctor will get a contact name for Charlie.
Rocklane Little League – Karen Linville states they will host a fundraiser on Opening Day (April 26th). They plan to donate some portion of their concession proceeds, collect
donations and/or sell our cling ons that day. The ride will pass by the ball field on that morning.
Center Grove Middle School – Christa Mathews, a teacher at CGMS. She will be bringing a group of 7th graders over to work at Proctor Park on April 28th as part of their Community Service Day. The CGMS 7th Grade Green Team sent 2 orders for bricks for both walkways. The bricks say Thank you! Center Grove Middle School Central. Maribeth asks the committee’s permission to accept these brick orders. After some discussion it is decided that the entry ways to the 2 walkways will be designated as areas approved for bricks from students. The bricks cannot have any individuals name on them but can say Thank you or With Thanks etc. and have a school or class name.
Proctor Park Installation Schedule – Jim Lasiter states that the weather will be a determining factor in our ability to get everything completed before our Dedication Ceremony. We hope to have the sidewalks poured, the front section of the Park’s electricity run, the fountain installed in the pond, the Memorial Walkways installed, the playground equipment and flag poles installed and at least a portion of the landscaping. Hopefully the limestone benches will be delivered and installed as well. With the help of the military we may also be able to get the second shelter house built. The company we purchased the playground equipment from is supposed to send some of their employees to help us get the playground equipment installed.
Memorial Walkways – Maribeth presents samples and quotes for both clay and concrete pavers. After some discussion the consensus of the committee is to order clay pavers.
Fundraisers
Joe’s Crab Shack
Maribeth thanks Beth Burroughs for everything she has done to coordinate this event and for the gift cards that she provided for use at some of our other events. This event will take place tomorrow night, February 28th between 5:00 p.m. and 10:00 p.m. Joe’s Crab Shack will donate 10% of all sales when the customer presents one of our fliers. Carol Stinson will be working near the front doors of the restaurant with fliers to hand to people as they enter the restaurant. Beth thinks she may have the proceeds check within a couple of weeks of the event.
Christian Businessmen’s Luncheon – Ann’s Restaurant
Maribeth will do a Proctor Park presentation at the luncheon in Franklin on March 6, 2008.
Charity Ride – Saturday, April 26, 2008 10 -7
Catering - Outback is unable to cater this event. The Eagles will plan to prepare and serve the dinner at the event. April Proctor will contact Wonder Bread to get buns donated. Tom & Kathy will contact their sources to get other items donated. Once donations have been secured we will look at what needs to be purchased. Tom will contact Archers to see if they will donate a hog but he notes we will need several based on the response we are getting. Charlie Linville states he knows a couple of farmers and he will see if they would consider donating a hog for this event. The Eagles has the equipment and the manpower to cook the pig on site if necessary.
Tents, Tables & Chairs - Tom Bland notes that Mona Woods contacted Atterbury and they approved loaning us their tents. Tom thinks they are also loaning us tables and chairs.
Registration -Tom Bland adds the Plainfield Eagles have volunteered to assist with this event. They will help with registration and will also set up some field events on site for the riders.
T-Shirts - Patti Wade and Maribeth are working on getting prices for the t-shirts for the ride. Maribeth shares the quotes she has received so far and has samples of the t-shirts for the committee to look at. She is waiting on one additional quote from John Perrin at UniFirst.
Sponsorships - Tom advises the Eagles have received $1,250.00 in sponsorship fees so far.
Booth Space – Tom states he has been contacted by some vendors inquiring about renting booth space during this event. Booth space rent is set at $100.00 for the day or a donation of an item for the auction with a value equal or greater than $100.00.
Blood Drive – Maribeth has posters and fliers for committee members to hang in various offices and businesses in the area. The Indiana Blood Bank will be on site from 3:00 p.m. to 7:00 p.m. on April 26th.
Atterbury Shooting Contest
This National Skeet Shoot will be held on April 26th & 27th. They are promoting
this event in Ohio, Illinois, Kentucky, Michigan and Indiana. Proceeds will go to Proctor Park – we will be stopping at the Firing Range on the 26th. Tom is working with the Whiteland VFW to coordinate a brief ceremony when the ride stops at the Firing Range. DNR also plans to unveil their monument at that time.
*Raffle Items
Committee members are encouraged to sign out raffle tickets to sell. Tickets for the Americana Quilt and oak quilt stand are $5 each or 3 for $10. The drawing for these items will be moved to April 26th at the auction during the Charity Ride.
Tom Bland also has the 50/50 raffle tickets for the cash drawing to be held on April 26th. Tickets are $1 each or 6 for $5.00. There is a line on the 50/50 tickets that says you must be present to win. The Eagles were unaware of this and it is not a requirement. Committee members are asked to mark that line out on all future tickets sold.
Dedication Ceremony – May 3, 2008
The Dedication Ceremony will be held at 2:00 p.m. on Saturday, May 3rd, 2008. Governor Daniels is unable to attend due to his daughter’s college graduation. Maribeth is waiting to hear from MG Umbarger and Lt. Governor Becky Skillman.
Meeting Schedule
Our next scheduled meeting is Wednesday, March 11th at 7:00 p.m. at the Town Hall.
