Committee Meeting

October 17, 2007

 

 

Maribeth Alspach opened the meeting at 7:00 p.m. and welcomed all members to the meeting.  Committee members briefly introduced themselves. We had 11 committee members in attendance.  

 

Financial Report

Revenue to date is $22,958.21 and expenditures total $430.09 which leaves a balance of $22,528.12.  This does not include the $10,000.00 grant from the Johnson County Community Foundation.

 

Brick Pavers

Maribeth passes out sheets of graphics for the committee to select those pieces of artwork that will be offered with the paver sales.  Selections are:

            The five (5) branches of military insignia

            #15 – Maltese Cross #5 for Firefighters

            #10 – Lifestream for Emergency Responders

            #07 – Police 1 for Police Officers

            #25 – Sheriff Badge 5 for Sheriff Deputies

These are the only graphics that will be offered on the standard pavers.  Other options will be available with special orders on the Memory Stones.

Maribeth notes that we have received our first engraved paver order!

Follow up discussion on how to promote paver sales.  Main Source Bank is going to have order blanks available in their lobby for their customers.  Suggest sending these home in students Friday folders – need to find printer to donate large quantity of order forms.  Suggestion is made to contact Pam Fry with Rush Graphics.

 

Fundraisers

Upcoming fundraisers

            Millennium in Franklin – Saturday, Oct. 27th from 2 – 8 p.m.

                        Vicky Moss has site plans to deliver to the Millennium

            Heroes Honoring Heroes – Sat. Feb. 23, 2008 WCHS gym 9 – 7

                        *Admission prices were discussed – the following was approved       

                                    Adults Pre-Sale            $15.00

                                    Adults at the door         $20.00

                                    Students Pre-Sale         $10.00

                                    Students at the door      $15.00

                                    Children 5 and under  FREE

                        *Auction items were discussed – several requests have been mailed

                        Findley Auctioneers have donated their services for the auction.

                        *Food items are discussed – Amy Owens will contact C-9 to see if the

culinary arts students would prepare and serve food.  Kim Long will help

with getting volunteers to cover shifts in the concession stand.  Holly Ison

will assist with food donations.  Vicky Moss has approached Dairy Queen

for food donations.

            *Charity Ride – Saturday, April 26, 2008 10 -7

                        Tents – Cheryl Mathena has 2 smaller tents and was going to contact

Grand Rental about donating a larger tent as well as tables and chairs.

Tables & Chairs – Vicky Moss was going to check with the Carlton

Lodge. Holly Ison says Rocklane Christian Church loans theirs out if you

pick them up and return them.

                        Moon Walk – Sue Galloway is going to contact Bouncer Town about

donating inflatable items for this event.

                   Auction – brief discussion on whether items will be raffled off or

auctioned.  Most likely we will raffle off a dozen or so larger items and

have several door prized at this event.

            *Raffle Items

                        Keith Urban Concert Tickets – Vicky Moss and Scott & Maribeth

Alspach sold raffle tickets at the WCHS football game Oct. 19th – made

$191.00.

                        John Mellencamp Concert Tickets - Cheryl Mathena has 2 John

Mellencamp Concert tickets that we can raffle off.  We may have another

home football game the weekend of the 26th. 

Pacer Tickets - Cheryl is also getting Pacers tickets.

Colts Tickets – Cheryl is getting 4 Colts tickets for the December

30th game.  We need to begin selling raffle tickets for the Colts tickets –

will separate into 2 pair of tickets.  We will wait for Cheryl to get here

before passing out raffle tickets to sell.

            *Promotional Items

                        Dog Tags – we will invite Mark berry to set up at the Feb. 23rd event and

the April 26th event to sell dog tags.

Logo – we discuss creating a logo – something that identifies this project

to put on our promotional and marketing items.

Commemorative cups – Holly Ison says these are inexpensive and might

work well at our fundraisers.  Pay extra for keepsake cup with our logo on

it.  Can be used for popcorn, soda, or snow cones.  Sue Galloway and Patti

Wade will research items and report back to the committee.

            *Penny Wars – Sue Galloway has issued a challenge to all of the CPCSC

buildings to see who can raise the most money from 10/31/07 through 11/7/07. 

The school that wins claims the “Bragging Rights”.  Totals will be announced

each morning and the students will be able to contribute to other school jars to

reduce the total for that building.  The winner will be announced at the WCHS

Veteran’s Day Program on November 9th.  A student representative from each

school will be present.  The money raised through this event will be used towards

the GameTime playground equipment grant purchase.  Patti Wade of Main Source

Bank will pick up the money daily and have it counted and email totals to Sue.  What an amazing event – we are so lucky to have the support of our schools, students and staff.

           

Marketing

Patti Wade and Maribeth are meeting with Red Line Graphics on October 25th.  Maribeth will also schedule a meeting with Steve Swails at the Daily Journal.  We will also try and set up a meeting with Pam Frye at Rush Graphics.

                        Billboard – Vicky Moss is waiting to hear back from the Firing Range at

Atterbury about the graphics.

Brochures & Posters – we need the confirmed list of who will be

appearing at the Heroes Honoring Heroes Event to begin publicizing. 

Cheryl is supposed to have confirmations this week.

 

Committees

We will need to form sub-committees next month to plan and organize volunteers, equipment, supplies, food, advertising etc. for these events.

 

Meeting Schedule

Our next scheduled meeting is Wednesday, November 7th at 7:00 p.m. in the Council Meeting Room here at the Town Hall.  Maribeth suggests changing our meeting night after the next meeting to be able to use the other room and have tables and chairs for breaking into sub-committees.  Maribeth reminds the committee that the Eagles monthly meeting is Tuesday, November 6th at 5:30 p.m.

 

Being no other business, the meeting was adjourned at 8:10 p.m.
