Committee Meeting

January 9, 2008

 

 

Maribeth Alspach opened the meeting at 7:00 p.m. and welcomed all members to the meeting.  We had fourteen people in attendance.  Scott Owens, Amy’s husband joined our group this evening.

 

Financial Report

Revenue to date is $42,813.62. We have spent $39,231.76 leaving a balance of $3,581.86.  Donnie Rodgers, a New Whiteland resident has offered to purchase and install seven (7) of the eight (8) 30’ flagpoles.  The Whiteland VFW had also offered to take care of the flagpoles but they have agreed to donate toward something else rather than jeopardize Mr. Rodgers generous donation.  We are still waiting on the DNR permits to begin any other work in the park.

 

Grants

The following grant updates are made:

            WFMS Friends & Neighbors – requested $3,000.00 –waiting for award

announcement.

Eagles Grant was denied because we are not a Not for Profit.  Tom Bland will

submit the letter from the town’s CPA and ask them to reconsider of application.

Home Depot Grant was also denied.

Pilgrim Fellowship Church in Franklin has expressed an interest in making some

type of monetary donation.  Vicky Moss is following up on this.

 

Fundraisers

 

Pacer Game – December 12, 2007

We are awaiting our fundraiser check for $350.00.  Proctor family members share memories of the ceremony. Many thanks to the Pacers and to Darla Jo Parker.  We were also given a letter for 4 balcony seats to the March 11th game which we raffled off at the WCHS basketball game on January 5th.  Proceeds from the ticket raffle were $55.00.  Darla Jo also provided a set of tickets for the January 19th game that are being raffled off at Caterpillar and another set for the February 2nd game are being raffled off at NSK.

 

Atterbury Shooting Contest

This National Skeet Shoot will be held on April 26th & 27th.  They are promoting this event in Ohio, Illinois, Kentucky, Michigan and Indiana.  Proceeds will go to Proctor Park – we need to check and see if this event will interfere with the Motorcycle Ride going to the Firing Range on the 26th.

Whiteland vs. Greenwood Basketball Game – January 5, 2008

We sold $65.00 worth of dog tags, 2 Memorial Bricks, raffle tickets for a Pacers Game and our Americana Quilt and Quilt Stand and accepted donations.  Total revenues from this event were $1,050.83.  Vicky Moss, Scott & Maribeth

Alspach along with Mark, Laura & Brianna Berry worked this event.  Special thanks to Tori Ison and Megan Laugle for collecting donations in the bleachers! 

 

Motorcycle Expo – February 21st – 24th, 2008

            Tom Bland asks for volunteers to work some of the hours in the Anna’s Ride Booth.  If we help cover the hours we can promote Proctor Park in their booth.  Committee members will be given credentials and parking passes so it won’t cost them to get in.  The hours are:

            Thursday & Friday from 3:00 p.m. to 9:30 p.m. (Feb. 21st & 22nd)

            Sat., Feb 23rd from 10:00 a.m. to 9:30 p.m.

            Sun., Feb 24th from 10:00 a.m. to 5:00 p.m.

Members are to let us know if they can cover any of these hours before our next meeting.

 

            Charity Ride – Saturday, April 26, 2008 10 -7

                        Maribeth asks people to sign up for the following subcommittees:

                                    Raffle & Auction

Tom and Kathy brought extra fliers for committee members to distribute.  Kathy asks that we reduce the size of the flier so that Pizza Spot can attach them to their pizza orders.  We discuss updating the information on the fliers before mass producing them.  We are waiting on word from Outback on possible catering.  The flier also indicates that people can pre-register at the Eagles website and we are not certain that the information has been posted.  Tom Bland will check on this.

 

            Dedication Ceremony – May 3, 2008

                        The Whiteland VFW has volunteered to supply their Honor Guard

We need to decide on a time for the ceremony and confirm dignitaries and speakers who will be attending.

Store to raffle off with our quilt.  Tickets for the pair of items remain $5 each or 3 for $10.  Patti Wade agrees to display the quilt at MainSource Bank in Whiteland.  Committee members are encouraged to sign out raffle tickets to sell.

Tom Bland also has the 50/50 raffle tickets for the cash drawing to be held

on April 26th.  Tickets are $1 each or 6 for $5.00.  Committee members are

also encouraged to sign out these tickets to sell to friends, family and co-

workers.

 

            *Promotional Items

Dog Tags – Personalized tags can be ordered and we now have a machine here at the Town Hall to make them.  We need to find events or venues where we could set up for a day and sell dog tags.  We did reduce the price at the basketball game to $5.00 per set.

Window Clings – Patti presents some cost information – if we order 5,000 a 6 – 9 square inch size with 3 colors would run 16.7 cents each.  The cost for a 12 – 16 square inch size with 3 colors would be 21 cents each.  Patti is going to try and get a proof of the 16 square inch size.

T-Shirts – Patti Wade will get cost information of t-shirts for the Charity Ride.

 

Revised Requisition List and Budget

Maribeth and PW Supt. Jim Lasiter have been meeting with various contractors and getting quotes.  We have revised our “Wish Lists” and divided the project into 2 phases.  New lists are distributed which detail those items that need to be purchased or donated and installed prior to our Dedication Ceremony on May 3rd.   In order to achieve this goal we need to raise an additional $43,000.00.  Maribeth will prepare a donation / sponsorship letter and email it to all committee members so that they may begin aggressively seeking sponsors for our project.  Maribeth asks that all members email her with a list of those individuals or businesses they will be approaching.  She will keep a master list so that we don’t all approach the same people.

 

Meeting Schedule

Our next scheduled meeting is Wednesday, January 30th at 7:00 p.m. in the Council Meeting Room here at the Town Hall.
