Committee Meeting

January 30, 2008

 

 

Maribeth Alspach opened the meeting at 7:00 p.m. and welcomed all members to the meeting.  We had sixteen people in attendance.  Those in attendance for the first time included; Carol Stinson, Beth Burroughs, Larry Shepherd, Mike Lingenfelter, Karen Linville and Mona Woods.

 

Financial Report

Revenue to date is $44,022.05. We have spent $39,231.76 leaving a balance of $4,790.29.   We are still waiting on the DNR permits to begin any other work in the park.  Maribeth contacted DNR today to check the status on the permits – they are currently awaiting engineering review.  The permits were filed on October 26th, 2007.

 

Miscellaneous Updates

Pete Molloy – this gentleman is involved with Anna’s Celebration of Life Foundation.  He has been involved with the Eagles in the Anna’s Ride in years past.  He also has several contacts with contractors and will see if he can help with our project in any way.

Steel Horse – April Proctor and Vicky Moss have spoken with the Show’s host and provide information on getting the Charity Ride posted to their website.

Memorial Walkways – We are still getting quotes and pricing on materials and labor.  We need to get this work contracted as quickly as possible to guarantee the walkways will be completed prior to May 3rd.  Brian Budde with Budde Landscaping is contacting several resources for possible donations and or grants for this project.

Home Depot – have offered to provide landscaping materials and trees.  Brian Budde is donating a landscaping design and a materials list.

American Sentry Guard – attended a joint meeting to discuss surveillance cameras.  There is a possibility that some Homeland Security grant money may be available.  We

will continue to explore this option.

Scouts – Maribeth attended the Pack meeting this month.  The Scouts are very excited and want to participate in our project.  They are exploring various fund raising options including collecting aluminum cans, hosting a Walk-A-Thon and possibly teaming up with area Military personnel and going door to door collecting donations and passing out order forms for the bricks.  Mike Lingenfelter is here representing Cub Pack 617 and adds that Pet Supplies is interested in possibly hosting a Pet Walk.  Mike states that the Pathfinders District Council is considering a request to donate the American or Indiana state flag.

Military – Charlie Linville has spoken to his Commanding Officer and is also working to get their participation.  They may team up with the Scouts in their fundraising efforts.  They are also distributing the order forms for the bricks.  They are trying to organize a work day and will possibly donate materials and labor to construct a shelter house at the Proctor Park site.

Rocklane Little League – Karen Linville states they will host a fundraiser on Opening Day (April 26th).  They may donate some portion of their concession proceeds, collect

donations and/or sell our cling ons that day.  The ride will pass by the ball field on that morning.

Center Grove Middle School – Christa Mathews, a teacher at CGMS.  She will be bringing a group of 7th graders over to work at Proctor Park on April 28th as part of their Community Service Day.  She is also working on holding a Jar Wars competition at the Middle School.

Whiteland VFW – Steve Beauprez took Charity Ride fliers as well as Memorial Brick Order dorms to their District / Regional meeting on January 27th.  Tom Bland has contacted the VFW and asked them to coordinate some type of short service when the ride stops at Atterbury on April 26th.  The Whiteland VFW is contemplating hosting a Motorcycle Ride also.  They are considering what type of donation they want to make.  They had pledged to purchase the flag poles earlier but have agreed to do something else to allow Donnie Rodgers to donate the flag poles.  The VFW is donating the Military flags.  We are still short 1 or 2 30’ flag poles for the project.

 

Grants

The following grant updates are made:

            WFMS Friends & Neighbors – requested $3,000.00 –waiting for award

announcement.

Pilgrim Fellowship Church in Franklin has expressed an interest in making some

type of monetary donation.  Vicky Moss is following up on this.

 

Fundraisers

Southside Business Expo – Greenwood Park Mall

We have a booth rented for Friday, February 8th.  We will need to have people

available to promote Proctor Park from 10:00 a.m. to 9:00 p.m. that day.  A sign up sheet is passed around and all shifts are filled.  We will sell raffle tickets and have information on the Memorial Bricks and the Charity Ride.

           

Lincoln Day Dinner – Jonathon Byrd’s

            We will have a table in the foyer for the dinner on Sunday evening,

February 10th.  We will also be allowed to put handouts in the bags that those attending will be taking home with them.  Scott & Maribeth Alspach will work this event.

 

Blue & Gold Banquet – New Whiteland Christian Church

            We will have a table display at the Scout Banquet on Saturday, February

23rd.  We have been asked to make dog tags and have the quilt raffle as well as the 50 / 50 tickets.  We will also have order forms for the Memorial Bricks and information on the Charity Ride.  Vicky Moss and Mark Berry will work this event.

The scouts are also collecting aluminum cans to sell to benefit Proctor Park.  They are also trying to organize a Walk-A-Thon to raise money for the park.

Motorcycle Expo – February 21st – 24th, 2008

The Eagles will be hosting this booth.  The booth will be split between Anna’s

Ride and the Proctor Park Charity Ride.  We will sell raffle tickets for the quilt as well as the 50 / 50 tickets.  We will also have order forms for the bricks and the benches and information on the Charity Ride.  We will be selling Proctor Park logo static free cling ons for $1.00.  Tom Bland is putting together a schedule for workers to operate the booth. 

 

Christian Businessmen’s Luncheon – Ann’s Restaurant

            Maribeth will do a Proctor Park presentation at the luncheon in Franklin on March 6, 2008.

 

Charity Ride – Saturday, April 26, 2008 10 -7

            We are still waiting to hear back from Outback.  Beth Burroughs with Joe’s Crab Shack states that if Outback is not interested in participating they might be.  We will follow up with Outback again.  If one of these restaurants does not offer to furnish the food the Eagles will prepare and serve the dinner at the event.

            Mona Woods has contacted Atterbury and is waiting to hear back on using their tents.  They may also be able to loan us tables and chairs.  Kim Long did get approval from Rocklane Christian Church for us to use 12 – 15 tables and approximately 50 chairs.

            Kathy Rooker states the Eagles Ladies Auxiliary has agreed to oversee the games and prizes for the kids.  They are also going to have a booth for the kids to make cards or letters to send to the troops.    

            Tom Bland adds the Plainfield Eagles have volunteered to assist with this event.  They will help with registration and will also set up some field events on site for the riders.  Tom also has finalized the route for the ride.  It is about 71 miles in length and does include a stop at the Firing Range at Atterbury.

            Patti Wade and Maribeth are working on getting prices for the t-shirts for the ride.  Maribeth also suggests getting polo shirts with the Proctor Park logo for any committee members or community folk who might wish to purchase one.

            Maribeth passes out Sponsorship packets to all members.  Members are asked to provide names of those businesses they intend to contact so that we can provide a master list.  For a $250.00 sponsorship fee (made out to the Eagles Aerie #4132) the donor will get their name listed as a sponsor on our website and also on the t-shirts.  Sponsorship fees need to be received by April 1st to guarantee they will be included on the t-shirts.  For an additional $500.00 Proctor Park donation we will put the businesses logo as well as a link to their website on ours.  Remember these donations are tax deductible.  Maribeth would like to see the committee get 50 sponsors for this event.

 

Atterbury Shooting Contest

This National Skeet Shoot will be held on April 26th & 27th.  They are promoting

this event in Ohio, Illinois, Kentucky, Michigan and Indiana.  Proceeds will go to Proctor Park – we will be stopping at the Firing Range on the 26th.

*Raffle Items

Committee members are encouraged to sign out raffle tickets to sell. Tickets for the Americana Quilt and oak quilt stand are $5 each or 3 for $10.  It is agreed that the drawing for these items will be moved to April 26th at the auction during the Charity Ride.

Tom Bland also has the 50/50 raffle tickets for the cash drawing to be held on April 26th.  Tickets are $1 each or 6 for $5.00.  Committee members are also encouraged to sign out these tickets to sell to friends, family and co-workers.

 

*Promotional Items

Dog Tags – Personalized tags can be ordered and we now have a machine here at the Town Hall to make them.  We need to find events or venues where we could set up for a day and sell dog tags.  We have reduced the price to $5.00 per set.  Proctor Park tags are now $3.00 per set.

Window Clings – Patti presents a sample of the 16 square inch size.  Committee authorizes ordering 5,000 of the clings at a cost to us of $0.21 each – we will re-sell them for $1.00.  We will sell these at the Motorcycle Expo and all other events.

 

Dedication Ceremony – May 3, 2008

            The Dedication Ceremony will be held at 2:00 p.m. on Saturday, May 3rd, 2008. Maribeth will contact the Governor’s office and ask Governor Daniels to be our keynote speaker.  Maribeth will also confirm dignitaries and speakers who will be attending.  The Whiteland VFW will provide an Honor Guard.  Maribeth has discussed security with the Police Department.  We need to concentrate on transportation issues and marketing.

 

Meeting Schedule

Our next scheduled meeting is Wednesday, February 27th at 7:00 p.m. in the Council Meeting Room here at the Town Hall. 

 

Being no other business, the meeting was adjourned at 8:30 p.m.
